The Type of Personal Information We Collect

  • Personal identifiers, contacts, characteristics (for example name and contact details)

  • Emergency contact information, DBS checks, and dates of birth for our volunteers. 

How We Get the Personal Information and Why We Have It

Most of the personal information we process is provided to us directly by you for one of the following reasons:

  • You contact us to express an interest in our counselling offer. 

  • You contact us to express an interest in becoming a volunteer/fundraiser.

We also receive some personal information indirectly from the following sources in the following scenarios:

  • The Disclosure and Barring Service will contact us following a check we’ve carried out on volunteers to provide any relevant information they have found on their systems. 

How We Use the Personal Information

We use personal information:

  • To communicate with you regarding the work of our charity including events, fundraisers and opportunities. 

  • To pass (with your permission) to our counselling partners so they can contact you. 

  • To communicate with our volunteers or their emergency contacts. 

We may share this information with:

  • Serendipity Counselling

  • York St John University (Menfulness 2.0 Research)

Under the UK General Data Protection Regulation (UK GDPR), the lawful bases we rely on for processing this information are:

(a) Your consent. You are able to remove your consent at any time. You can do this by contacting hello@menfulness.org

(c) Legal Obligation.

How We Store Your Personal Information

Your information is securely stored. 

  • For simple enquiries, counselling referrals etc we will keep contact details contained within emails for 1 year following the last contact with a data subject.  
  • If a data subject’s contact with us has been in relation to an ongoing project, partnership or significant interest then we will keep the details contained within emails for 5 years from the end of that project, partnership or interest, or your last contact, whichever is the later. 
  • Following a volunteer or trustee stepping down from their role we will keep their details on our private database for 5 years.

All information is stored digitally either on a private database or email inbox or secure personal computer/laptop. The files would be deleted from either or both locations. 

Your data protection rights

Under data protection law, you have rights including:

  • Your right of access – You have the right to ask us for copies of your personal information. 
  • Your right to rectification – You have the right to ask us to rectify personal information you think is inaccurate. You also have the right to ask us to complete information you think is incomplete. 
  • Your right to erasure – You have the right to ask us to erase your personal information in certain circumstances. 
  • Your right to restriction of processing – You have the right to ask us to restrict the processing of your personal information in certain circumstances. 
  • Your right to object to processing – You have the the right to object to the processing of your personal information in certain circumstances.
  • Your right to data portability – You have the right to ask that we transfer the personal information you gave us to another organisation, or to you, in certain circumstances.
  • You are not required to pay any charge for exercising your rights. If you make a request, we have one month to respond to you.
